Funding and Budget Planning Guidelines

A formal budget is not required with the proposal submission for this grant cycle. However, grant awardees must collaborate with their unit’s business manager to plan for the receipt of funds and the payment of any required fringe benefits as needed. 

General information and details about the RFP, including funding priorities, have been posted on this website. Below there is additional information to clarify questions related to funding eligibility and to assist with the budget planning.

Allowable Expenses

Funding is primarily focused on faculty stipends, a total of $6,500 which should be used to cover fringe benefits as needed.

  • Fringe Benefits: Fringe must be factored into grant expenses. To calculate fringe, business managers with questions should contact UMD-HR.
  • Student Support: Funds may be used for graduate or undergraduate hourly workers.

Additional Expenses

  • Travel: Conference travel is permitted to support professional development
  • External Services: Consulting service agreements (e.g., video editors, ASL interpreters, software development) are eligible for funding.
  • Equipment and Software: Discipline-specific software or equipment may be purchased. Proposals involving software not in the DIT service catalog require pre-consultation with DIT Security and Compliance regarding Canvas integration, FERPA, and accessibility.
  • Ownership: UMD units retain ownership of all equipment, software, or materials purchased with grant funds.

Fund Administration Once Awarded

  • Account Creation: The Provost’s Office will establish a unique USource account in Workday for each awardee. This information will be provided to the individual PI’s and their business office.
  • Disbursement: Total awards will be dispersed upfront to the unique USource.
  • Expenditures: All grant activity must occur within the assigned account; salary and expense transfers should be kept to a minimum.
  • Closeout: Any unspent funds must be returned to the Provost’s Office at the conclusion of the project before June 2027.
